AGM of 4th May 2012 at BYPA Hall

 

 

The AGM of the BYPA took place Friday evening (4th May) at the BYPA Hall. Present were members of the BYPA, main users of the Hall, members of the Parish Council and several others

 

The Minutes of the last AGM were approved

 

Venice Marriott (the outgoing Chair of BYPA) gave a review of what had been a busy year with a good committee, support from the Parish Council and work on the refurbishment to the Hall had begun with the new windows and doors. Future plans included to replace and upgrade the current toilets, new heating, new flooring and an extension to give better storage facilities. Venice gave an account of the work required to keep the Hall going and after over 10 years working with the BYPA as the Chair had decided that due to her other commitments that it was time to pass the role on to someone else. In recent months the BYPA had been in discussions with the Parish Council about working closer together which would be a positive thing and she wished the BYPA all the best for the future

 

Kim Austen (BYPA Treasurer) gave a financial report on the year, referring to the up to date BYPA accounts and also her ongoing discussions with the Charity Commission regarding the BYPA Constitution and application for charity status which in the last few weeks had reached a satisfactory conclusion and it was hoped charity status would be awarded soon. This will open further opportunities for obtaining funding towards the ongoing refurbishment of the Hall. Kim reported that the annual income from the hire of the Hall just covered all the normal running costs and so additional funds would be needed to pay for improvements and refurbishments

 

Venice Marriott then formally stood down as Chair during the process of electing the Chair and BYPA Committee members. There was a fair amount of debate regarding the vacant position of the Chair after no one person volunteered to take up the role. The position of BYPA Chair therefore remains vacant and the BYPA Committee would be very pleased to hear from anyone who would be interested in this role or helping the BYPA with any other aspects of the running and management of the Hall, etc

 

At the end of the AGM the Committee members presented some flowers to Venice to thank her for all her hard work and commitment during the many years she had been BYPA Chair
